Lock Statuses


A locks status can be updated to reflect one of the following:

Description

Counts towards lock limit?

Available

The lock is available and not currently being used.

When a new rental/delinquent payment is completed, update the lock from "Assigned Vacant", "Assigned Overlock", or "Returned to Dropbox" back to "Available" before reassigning to another unit. This ensures the unlock code is removed from the original unit in your facility management software (FMS)

Assigned Vacant

The lock is securing a vacant unit.

*Unlock and New Rental notification is sent out to tenant if integrated with your facility management software (FMS) and enabled. Code cannot be changed in this status.

Yes
Assigned Overlock

The lock is securing to a delinquent unit.

*Unlock and Delinquency Paid notification is sent to tenant if integrated with your facility management software (FMS) and enabled. Code cannot be changed in this status.

Yes
Tenant Using Lock

The lock is being used by a tenant.

*For security, unlock codes for locks in the "tenant using lock" status display ****, designed to limit access to unlock codes based on user role. All users, except client personnel restricted, can retrieve the unlock code by clicking on the eye. Any time an unlock code for a lock in the "tenant using lock" status is retrieved, a record will appear in the lock's log history.  Code cannot be changed in this status.

The lock is securing to a unit being auctioned.

*Notifications are not sent to tenants after payment.

Assigned Other

The lock is being used in another capacity not listed.

The lock is being used by a vendor.

Returned to Dropbox

The lock is assumed to have been returned to a drop  box or a manager at the facility.

Damaged The lock is damaged and cannot be used. No*

Sold The lock has been sold or given to a customer.  

*The lock code is disabled, hidden, cannot be changed, or assigned to a unit. This status assumes the facility no longer owns or has possession of the lock.

Unscannable The lock is unscannable and not being used. No*

*Archived lock statuses:Locks with a status of Damaged, Lost, Sold, or Unscannable are considered archived locks.

Archived locks do not appear in Manage Locks in the web portal or in the Locks view in the mobile app. Admins and Owners can view these locks from the Archived Locks tab.
